Company identifiers, industries, employee ranges, business contact details and observed events can all be B2B data. The label describes the business context, not an exemption from privacy or licensing requirements. A useful dataset records what each field means, where it came from and when it was observed. Coverage and permitted use vary by source.

Understand the three main record types

Company records describe organizations, contact records describe people in a business context, and event records describe something observed at a particular time. Keep these types connected without collapsing them. A person can change employers; a company can change its domain; an announcement can concern a subsidiary. A flat spreadsheet can hide those relationships unless identifiers and dates are preserved.

Start with the unit the workflow acts on. Account selection needs company identity and fit. Contact research needs a current person-company relationship. Signal-based prioritization needs an event date and a supported connection to the account. The same provider may have different coverage and reliability across those layers.

Choose fields from the decision backward

If the task is to identify regional manufacturers with a particular operating process, company geography and evidence of that process matter more than a broad inventory of contact attributes. Write the acceptance criteria before acquiring data. That helps compare sources fairly and avoids paying to collect fields the receiving team will never use.

Define the destination schema at the same time. A CRM may require a stable account key, controlled industry values and specific merge rules. An audience destination may accept only certain identifiers. Data that looks complete in a provider export may still need normalization, verification or additional permissions before it is usable in the intended workflow.

Review coverage and correctness separately

In an illustrative sample of 100 target accounts, a source returns 80 records and 72 are correct under review. Coverage is 80% of the sample; reviewed correctness among returned records is 90%. Reporting only one of those figures hides a different limitation. Also inspect which segments are missing, because coverage may vary by geography, size or business type.

Preserve field provenance and observation dates, then apply refresh rules according to how quickly the field changes. Review source permissions and the intended use rather than assuming that a business label removes all responsibilities around personal data. Maintain suppression and correction processes so known errors and exclusions are not repeatedly reintroduced by later imports.
