The problem this solves
Closed-lost is the largest warm list most companies own and the least worked. The prospect knows the product, took at least one meeting and said no for a reason that was true at the time. Six months later the reason may be gone: the budget arrived, the person who said no left, the team they were going to hire instead never materialized. Reaching out to all of them with a generic 'checking in' wastes the relationship; reaching out to the ones with a real change, referencing the change, restarts it.
Finding the change is the work. It means checking every closed-lost company for a round, a leadership change or a hiring push since the deal closed, and writing a sequence that names that change and the original conversation. The Personalization Agent does both and loads the result into ActiveCampaign as a paused automation, so the sequence can be reviewed against the deal history before anyone hears from you again.
The sequence is written with the original loss reason in view. A deal lost on price gets a different winback from one lost on timing, and the CRM knows which was which.
How the mission runs
- Pull closed-lost deals older than six months. The Personalization Agent reads HubSpot for deals marked closed-lost more than six months ago, with the contact, the loss reason where recorded, the deal notes and the close date, and groups them by company.
- Check each company for a fresh trigger. Funding data, people data and hiring data are checked for a round, a VP or C-level change or a hiring push since the close date. Companies with no trigger are set aside; companies with one are kept with the trigger, its date and its source recorded.
- Write the winback sequence per contact. For each remaining contact, a three-step sequence is written that opens by naming the trigger, acknowledges the earlier conversation and its outcome without relitigating it, and offers a specific reason to talk again that follows from the trigger. The voice is yours; the loss reason shapes the angle.
- Handle contacts who have moved on. Where the original contact has left the company, the agent finds the person now in that role, verifies an email, and writes the sequence to them as a first introduction that references the company's history with you rather than a conversation they never had.
- Load ActiveCampaign as a paused automation. Contacts and their sequences are loaded into ActiveCampaign as automation <name>, created paused, with the trigger and loss reason as custom fields, and a summary reports how many closed-lost companies showed a trigger and which trigger types dominated.
The prompt
This is the exact objective the agent receives. Swap the obvious placeholders for your own domain, segment or channel and run it as-is from the console, Slack, or the API.
What comes back
A paused ActiveCampaign automation named <name> containing every closed-lost contact whose company showed a funding, leadership or hiring trigger since the deal closed, each with a three-step winback sequence that names the trigger and reflects the original loss reason, plus the trigger and reason stored as fields. The summary lists the companies with no trigger, held back, and the contacts replaced because they left.
Make it yours
- Deliver to Lemlist or Instantly for a sales-led winback, or to Gmail drafts for a small, personal batch.
- Add intent surges on your category as a fourth trigger type.
- Restrict to deals above a size threshold or lost to a named competitor.
- Run it monthly so newly triggered closed-lost companies enter the automation as they change.
Frequently asked questions
Why six months?
Long enough for circumstances to have changed and for the earlier no to have faded; short enough that the relationship is remembered. Set a different threshold in the prompt if your sales cycle warrants it.
How does the loss reason change the sequence?
A deal lost on price opens with what changed in the offer or the buyer's budget; one lost on timing opens with the trigger as the new timing; one lost to a competitor opens with what you have added since. The agent maps each recorded reason to an angle and shows the mapping.
Is anything sent from ActiveCampaign automatically?
No. The automation is created paused and stays paused until you activate it after reviewing the sequences.
